Dear McClenon Fund members:

                                                       

It is time for the annual election of Trustees of the Walter H. McClenon Fund.  

 

Ballots are enclosed with names of the candidates for Trustees.  Spaces are also included on the ballots for write-in votes.  An addressed envelope is also enclosed.  Please mark your ballot and seal it in the small envelope for secrecy.  Please then put your return address in the upper left hand corner.  We are not using a return envelope within a return envelope this year.  Secrecy will be ensured, if you choose to use it, by the fact that the envelope will be opened and the ballot removed from the envelope before the ballots are counted.  Your ballot will not be counted if there is no return address on the envelope, because it will then not be possible to ensure that the ballot was cast by a member of the Fund.  You may vote for not more than eleven Trustees, including both votes from the list and write-in votes.  You may vote for less than eleven Trustees, but if you vote for more than eleven Trustees, your vote will not be counted.  A motion will be made at the 5 March 2017 meeting to reduce the number of Trustees to nine.  If this motion is passed, only nine Trustees will be elected.  (If this motion does not pass, then eleven Trustees will be elected if eleven people received votes.) 

 

Because the annual meeting of Trustees is being held early and the ballots are being sent out in the middle of February, the report on the election of Trustees will not be ready at the time of the annual meeting and will be made later in March.

 

Please return the outer stamped addressed envelope to the Secretary of the Fund to be counted.  Your ballot will be counted if it is postmarked not later than 10 March 2017 and received by the Secretary not later than 15 March 2017.  The Secretary will open the outer envelopes and remove the inner envelopes.  The ballots will be secret because the outer envelopes will be thrown away before the inner envelopes are opened.  If you wish to waive secrecy and vote by electronic mail, please send your vote to: robert.mcclenon@verizon.net.
